FAQ — TeamGlot

Team Collaboration

How does Team Collaboration work?

Team Collaboration gives your team one shared space to chat, share and review documents together, create and assign tasks, and coordinate calendars — all with automatic real-time translation across 33 languages, so language barriers are never an issue.

How many team members can you chat with at the same time in Team Collaboration and on the Chat page?

In Team Collaboration, you can have up to 10 members at a time, including 1 guest with an invite code. On the Chat page, which is separate, you can have a max of 5 members at a time, including 1 guest with an invite code. There can be a maximum of 1 guest at a time in both Team Collaboration and the Chat page. Only Pro and Company Team have access to Team Collaboration — Basic and Free users need a guest invite code to join. Company Team, Pro, and Basic can all use the Chat page at the same time, max 5 at a time. Free users can use the Chat page, but only with other Free users.

Can I share documents with my team?

Documents can be shared both on the Document Analysis page and in Team Collaboration. You edit your documents on the Document Analysis page and then send them to Team Collaboration, where they are shared with the invited team members. In Team Collaboration you can receive documents and have them translated instantly into your own language — and chat about them in your own language, with live translation all the way through.

What is a Guest invite code?

A Guest invite code is a one-time code that a paying team member generates and shares with someone outside the team — for example a customer or partner without their own TeamGlot subscription. Pro and Company Team can send invite codes for both Team Collaboration and the Chat page, while Basic can only send invite codes for the Chat page. With the code, that person can join as a guest without creating a paid account. Only 1 guest is allowed at a time per session, and the code is valid for 10 hours.

Account & Subscription

Can I upgrade if I sign up as a free user?

You can upgrade from the Free plan to either Basic or Pro at any time. Company Team requires a new subscription setup and is designed for businesses with multiple employees — up to 5 users can be created per subscription.

How often does my subscription renew?

The subscription is valid for 1 month and renews automatically on the date it was created. You can cancel at any time — the cancellation takes effect at the end of the current billing period, and no further charges apply. Cancelling is done directly from the Account page on TeamGlot.com.

Is there a free trial?

7-day free trial when creating a Pro subscription. Requires credit card registration and a new sign-up. Does not apply to free sign-ups. You can sign up as a Free user at any time. As a Free user, you have limited access and no access to Task Manager or Team Collaboration. The Free plan is meant as a "look around" option.

Technical Questions

Do I need to install anything?

No. TeamGlot runs entirely in your browser. No downloads, no plugins, no extensions required.

Which browsers are supported?

All common browsers are supported. However, we do not support mobile browsers. Some features in TeamGlot may work at tablet sizes, but without guarantee. We are working on optimizing for tablets at a later point.

Which web server and AI are used?

TeamGlot.com only uses European providers to minimize the risk of misuse by state actors spying on data and AI. We use Hetzner as our web server and Mistral AI as our AI provider — both GDPR-approved and based in the EU.

What if I need help?

TeamGlot.com is designed to be extremely user-friendly — it's easy to find your way around the different menus and features. If any problems arise along the way, we have help features that explain each function.

Data Deletion & Retention

How long is my data kept?

TeamGlot.com prioritizes security extremely highly. Your data is kept only for a short time to minimize the risk of misuse — everything is encrypted at rest with AES-256. Chat messages, documents, and team collaboration data are deleted no later than 24 hours after creation or upload. If you delete a file yourself, it's deleted immediately. Our system also deletes data strategically at different time intervals depending on whether you're active or logged out — while active, you can safely keep working without your work being deleted, but if you log out, a timer starts, which resets the next time you log in and work. We always recommend downloading received files before logging out — they are deleted after 4 hours. Calendar data is kept for up to 6 months, and tasks for up to 1 year, so you can plan further ahead.

What happens when I cancel my account?

From the day your subscription expires, your account is closed. Only your calendar appointments and Task Manager tasks are kept during this period. They are retained for 30 days — we call this the Grace period, during which you have the option to restore your account if you change your mind about cancelling. When the Grace period ends after 30 days, everything is deleted and your user data is anonymized.

If my account is closed, can my user data be deleted earlier than the 30-day Grace period?

Yes, you can have your user data, calendar appointments, and Task Manager tasks deleted before the 30 days — even if you want your account deleted in the middle of a subscription period. Just contact support@teamglot.com. Please note that your data cannot be restored after this.

What data is kept after the account is deleted?

We do not retain any user data after an account has been deleted. We only keep anonymized data behind, as proof that we honor everything we promise.

Security & Privacy

How is my data protected?

All data is encrypted with AES-256-GCM. We use separate encryption keys for different data types to maximize security. Your data is hosted on EU servers (Hetzner, Germany) and never leaves Europe.

Who can access my data?

Only you and the people you share with. TeamGlot staff cannot read your messages or documents — they are encrypted at rest. We have no backdoors.

Is TeamGlot.com 100% GDPR compliant?

Yes. TeamGlot.com is fully GDPR compliant. We have built data protection directly into the platform's design and structure (Privacy by Design). This means we comply with all applicable rules under the EU General Data Protection Regulation (GDPR) to protect your data as effectively as possible.

Where is my data stored?

All data is stored on Hetzner servers in Germany (EU). Our AI provider Mistral AI is based in France. No data leaves the EU/EEA.

Does TeamGlot.com have a Data Processing Agreement (DPA)?

All our European suppliers who handle personal data and other data on our behalf provide standard Data Processing Agreements (DPAs) on their websites, which we have agreed to. These agreements are legally binding and ensure that our partners handle your data with the same high level of security as we do, and in full compliance with applicable GDPR legislation. Your data is never sold or passed on to unauthorized third parties.

EU AI Act Compliance

Is TeamGlot compliant with the EU AI Act?

Yes. TeamGlot is classified as "limited risk" under the EU AI Act (Regulation 2024/1689). We comply with all transparency requirements under Article 50.

How does TeamGlot handle AI transparency?

TeamGlot.com meets the transparency requirements of the EU AI Act (Article 50). In practice, this means you are always informed when content is AI-generated, and AI translations are clearly marked as such. We never use hidden or manipulative AI techniques, biometric categorization, or emotion recognition — you should always be able to see what is human and what is AI.

Which AI model does TeamGlot use?

TeamGlot uses Mistral AI (Small 4), a French AI provider. All AI processing happens on EU servers. We never send your data to non-EU AI providers.
